Mental Health

Counselling practices and mental health group clinics

A waitlist of people getting worse in silence, notes written on a Sunday, and a record a client is entitled to read. The hard part is not writing faster, it is deciding what belongs in the record before the deadline decides for you.

Where the week actually goes

Four things a counselling practice loses hours to. Not a feature list: these are the places the same work gets done twice.

  • 01

    Session notes and treatment plans

  • 02

    Waitlist triage

  • 03

    Intake and consent paperwork

  • 04

    Insurer documentation

Watching the Waitlist: Risk Triage for People Who Are Not Patients Yet

A counselling practice's waitlist is a list of people getting worse in silence. This is the transformation that keeps a structured check-in going while someone waits, surfaces deterioration to a clinician early, and never lets a model decide that a person is safe.

What Goes in the Record: Drafting Therapy Notes That Survive an Access Request

In counselling, the hard part of a note is not writing it, it is deciding what belongs in it. A client can ask to read their record, and it may contain a third party's information. This is the transformation that drafts the note and makes the boundary explicit before anything is filed.

1 to 3, made explicit

How it starts here

Most practices start at stage one or two, because that is where the risk is cheapest to remove. You can stop after any of them, and the first slice is a fixed fee.

Your practice is the custodian. Under PHIPA the practice holds the personal health information and the responsibility for it. The agreement covering this work names Yantrax Labs as an agent of the practice under section 17, the privacy impact assessment is finished before anything touches a live chart, and every access to a record is logged and auditable. How the roles work.

Will it work with your system? Your software vendor sets the ceiling, not the studio you hire, and the four systems these practices run differ by who is allowed to build at all. What each one actually allows.

Questions a counselling practice asks first

Can AI be used safely in a counselling practice?

For the administrative layer, yes, and for anything clinical, no. Session notes and treatment plans, waitlist triage, intake and consent paperwork, and insurer documentation are where the hours go, and those are the places to work. A model never decides that a person is safe, never assesses risk on its own, and never closes a clinical loop. It surfaces, drafts and flags for a clinician.

What happens to our waitlist?

A counselling waitlist is usually a flat field ordered by referral date, which means it is a list of people getting worse in silence. A structured check-in keeps running while someone waits, and deterioration is surfaced to a clinician early rather than discovered at the first appointment. A clinician decides what it means. The software never rules someone out or declares them safe.

How do you handle notes when a client can request their record?

That is treated as a design constraint rather than an afterthought. The hard part of a counselling note is not writing it, it is deciding what belongs in it, because a client can ask to read their record and it may contain a third party information. Notes are drafted with the record boundary made explicit before anything is filed, so the decision is made once, deliberately, rather than under a deadline.

Is this private enough for therapy records?

Therapy records are among the most sensitive personal health information there is, and the file is completed before deployment: a privacy impact assessment, Canadian data residency, and a section 17 agent agreement under PHIPA. Records stay in your environment, processing retains nothing, no model is trained on them, and every access is logged.

Before anything touches a chart

  • Canadian data residency

Records and processing stay in Canada.

  • Privacy impact assessment first

Completed before any patient record is used.

  • PHIPA s.17 agent agreement

    Written into the service agreement.

  • Zero data retention

Nothing is stored after processing or used to train models.

  • An audit log on every access

Every access to a record is logged.

  • A clinician approves

Nothing enters a chart without review.

These are commitments in every engagement, not badges on a wall. We are a studio, not a certified platform, so we will not show you a logo we have not earned. What we can put in writing is how the work is built, where your records live, who is accountable for it, and what goes in the contract before a single patient record is touched.
