Multidisciplinary Clinics

Multidisciplinary clinics and integrated health centres

A physician, a physiotherapist, a chiropractor and a massage therapist are not one practice with four rooms. They are four regulated practices sharing a waiting room, and almost everything avoidable goes wrong in the space between them.

Where the week actually goes

Four things a multidisciplinary clinic loses hours to. Not a feature list: these are the places the same work gets done twice.

  • 01

Internal referrals that never get booked

  • 02

    One patient, several separate charts

  • 03

Who may see what, across disciplines

  • 04

    Scheduling across practitioner types

Each one takes the workflow as it runs today and works it end to end. Every one is labelled a concept, and every number in them is either sourced or marked a design target.

Multidisciplinary Clinics Concept

Down the Hall, Never Booked: The Internal Referral Nobody in the Clinic Owns

A multidisciplinary clinic's cheapest appointment is the one a practitioner refers to a colleague thirty feet away, and it is the one most likely to evaporate. This is the transformation that catches the referral where it is made, carries only what the patient agreed to let travel, and escalates the ones that go quiet.

How it starts here

Most practices start at stage one or two, because that is where the risk is cheapest to remove. You can stop after any of them, and the first slice is a fixed fee.

Your practice is the custodian. Under PHIPA the practice holds the personal health information and the responsibility for it. The agreement covering this work names Yantrax Labs as an agent of the practice under section 17, the privacy impact assessment is finished before anything touches a live chart, and every access to a record is logged and auditable. How the roles work.

Will it work with your system? Your software vendor sets the ceiling, not the studio you hire, and the four systems these practices run differ by who is allowed to build at all. What each one actually allows.

Questions a multidisciplinary clinic asks first

What can AI do in a multidisciplinary clinic?

The work that is unique here is the handoff, not the note. A physician, a physiotherapist, a chiropractor and a massage therapist under one roof are not one practice with four rooms, they are four regulated practices sharing a waiting room, and almost every avoidable loss happens in the space between them. Internal referrals that never get booked, a patient repeating their history at every door, and a schedule that has to reconcile four different appointment lengths are the pressure points. The documentation help is real too, and it is the same help a single-discipline clinic gets.

Can it stop internal referrals from getting lost?

That is the first thing worth fixing, because a referral down the hall is the cheapest appointment the clinic will ever book and it is usually handled by a sticky note. The referral is captured at the moment the practitioner makes it rather than at the front desk afterwards, it becomes a booking with the relevant history already attached, and one that has not been booked after an agreed number of days is surfaced to a person rather than expiring quietly. Nobody is auto-booked, and the recommendation stays the practitioner.

Can the physiotherapist see the physician notes?

Partly, and getting that boundary right is design work rather than a settings screen. Each regulated practitioner in the clinic is their own health information custodian under PHIPA, so a shared chart is several custodians sharing rather than one filing cabinet. Sharing for the purpose of providing care is permitted inside the circle of care on assumed implied consent, and a patient can expressly withhold it from any one practitioner. The system carries what the patient actually agreed to, per practitioner, and the record moves inside that boundary instead of around it.

Will this work across our different practitioner types?

It has to, because that spread is the segment rather than a complication. Appointment lengths, room and equipment constraints, billing that is OHIP for one practitioner and extended health or private pay for the next, and reporting that is WSIB or a motor vehicle insurer for a third all coexist in one day. The work is designed around the practice management system already running the clinic, and that system stays the source of truth. Nothing is migrated.

Before anything touches a chart

  • Canadian data residency

Records and processing stay in Canada.

  • Privacy impact assessment first

Completed before any patient record is used.

  • PHIPA s.17 agent agreement

    Written into the service agreement.

  • Zero data retention

Nothing is stored after processing or used to train models.

  • An audit log on every access

Every access to a record is logged.

  • A clinician approves

Nothing enters a chart without review.

These are commitments in every engagement, not badges on a wall. We are a studio, not a certified platform, so we will not show you a logo we have not earned. What we can put in writing is how the work is built, where your records live, who is accountable for it, and what goes in the contract before a single patient record is touched.
